Organizing a remote international mathematical conference: SIAM Conference on Applied Linear Algebra (LA24)

The Society for Industrial and Applied Mathematics (SIAM), a leading American organization in applied mathematics, entrusted us with organizing its annual SIAM Conference on Applied Linear Algebra (LA24). The event took place from May 13 to 16, 2024, at Sorbonne University in Paris. With no European branch, SIAM relied entirely on PremC as its local partner for this prestigious conference.

PremC was responsible for:

Complete logistical coordination (venue, caterers, service providers)
Managing speakers and participants
Setting up an accommodation booking platform
Organizing the gala dinner and other social events
Financial management (budget, registration fee collection, payments to service providers)
Detailed reporting to the organizer based in the United States

Our added value

We ensured effective remote management by maintaining constant communication with the organizer and providing clear, precise information to support decision-making from afar. When the event exceeded expectations, we managed over 700 registrations for an auditorium initially designed for 500 seats and swiftly arranged a live-streaming solution in an additional room.

Our expertise in financial and logistical management included overseeing the full budget and producing a detailed financial report. We also offered valuable advice on logistical arrangements to ensure the smooth operation of the event. As the local partner, we played a key role in supporting the foreign organizer and adapting to international communication challenges, including coordinating meetings across different time zones.

We particularly enjoyed working on the LA24 conference for the unique challenges it presented in terms of coordination and adapting to the event’s success. Our ability to turn the over-registration challenge into an opportunity, while maintaining smooth communication with the American organizer, was highly appreciated.
