Transforming a scientific conference into an international hybrid event: the evolution of Climat & Impacts

The biennial conference “Climat & Impacts,” covering cross-cutting themes related to climate and associated sciences, underwent a major transformation in 2020. Initially planned as an in-person event for its sixth edition, the COVID-19 crisis forced the organizers to completely rethink the event’s format. Impressed by a previous virtual conference by PremC, they turned to our expertise to create an interactive and engaging online experience.

PremC was engaged with the following objectives:

Transforming the 2020 edition into a fully virtual event
Designing and implementing an innovative hybrid format for the 2022 edition
Ensuring a smooth transition between on-site and remote presentations
Managing the event’s expansion in 2024 with two parallel rooms
Adapting the technical setup to different locations (CentraleSupélec in 2022, ENS Paris-Saclay in 2024)

Our added value

The event evolved from virtual in 2020 to hybrid in 2022 and 2024, with a system enabling seamless interaction between online and in-person participants. Speakers could present in either format.

We supported audience growth from 200 in 2020 to 400+ in 2024, adding two parallel rooms to accommodate more presentations. We quickly adapted to new technical setups, collaborating with venue teams.

Over three days, we ensured smooth transitions between in-person and remote presentations. Our work on Climat & Impacts allowed for innovation, and the organizer’s satisfaction led to our renewed role for the 2026 edition, expanding beyond hybrid management.

We particularly enjoyed working on Climat & Impacts because each edition allowed us to innovate and tackle new technical challenges. Our ability to quickly adapt to varied environments while maintaining a consistent and high-quality format was greatly appreciated. The organizer’s satisfaction was reflected in the renewal of their trust for the 2026 edition, with an expanded scope of our role beyond just hybrid management.
